Visibility Frequency is a one-person studio run by me, Nicole (Nikko) Bivens. This page explains what information I collect when you visit my website, buy from me, or work with me, and what I do with it. The short version: I collect only what I need to do the work and get paid, I use trusted tools to handle it, and I never sell your information.

What I collect

• Contact details you give me, like your name, email address, phone number and website address.
• Your answers to my forms, such as setup forms, intake forms, applications and testimonial requests.
• Payment information. Payments are processed by Stripe, either directly or through my checkout pages. Your card and bank details go straight to Stripe. I never see or store your full card or bank account number.
• Project and website details you share while we work together, including access you grant me to your website or hosting account.
• Meeting notes and recordings from calls, when you agree to them.
• Basic website data, like pages visited and the type of device or browser used, collected through cookies and website analytics. This helps me understand how the site is used. You can block cookies in your browser settings.

How I use it

• To deliver what you bought or hired me for, and to talk with you about it.
• To send invoices, receipts and billing notices.
• To send my emails, if you signed up for them. You can unsubscribe anytime using the link at the bottom of any email.
• To look after your website, if you’re a Website Stewardship client.
• To share your testimonial, only in the way you chose on my testimonial form.
• To keep accurate business and tax records.

The tools I use

I run my business with a small set of trusted services. Each one handles your information under its own privacy policy:

• Stripe, for payments and invoices
• An email and checkout platform, for my emails and online purchases
• Online form and scheduling tools, for intake forms and booking calls
• Secure cloud tools, for client records, files and email
• Website care software, for Website Stewardship clients

What I never do

• I never sell or rent your information.
• I never share it with anyone except the services above, which help me run the business, or when the law requires it.
• I never ask for your passwords. Website access is granted through your own account settings.

How long I keep it

I keep client and billing records for as long as we work together and as long as tax law requires afterward. If you’re on my email list, I keep your details until you unsubscribe.

Your choices

You can ask me to show you, correct or delete the information I hold about you, except records I’m required to keep for taxes. Email me and I’ll take care of it.

Keeping it safe

I use reputable services with strong security and only access what I need to do the work. No system is perfect, but I take care of your information the way I’d want mine taken care of.

When I care for your website, I can sometimes see what it stores, like orders, members or form entries. I only look when the work needs it, and I never copy it or use it for anything else. My website care software keeps backups of your site so it can be restored.

Children

My work is for adults running businesses. I don’t knowingly collect information from anyone under 18.

Changes to this policy

If I change how I handle your information, I’ll update this page and the date at the top.
